 CONTRACT ADMINISTRATOR I

Assignment:       Los Angeles World Airports (LAWA), Budget & Administration

Salary:                  $62.4K to $70.7K annual base salary depending upon experience

ESSENTIAL JOB DUTIES

  • Serve as Contract Administrator for a number of Professional Services Contracts under the Planning and Development Group
  • Assist Contracts Managers and Project Managers of the Planning and Development Group in facilitating, executing and monitoring activities including coordination, preparation of materials, and data tracking
  • Prepare and maintain various documents related to Contract Administration, including but not limited to, task orders letters, amendments, rate matrices, backup documents etc.
  • Review proposals submitted by consultants for reasonableness and accuracy, including verifying the accuracy of proposed rates and hours
  • Review and interpret contract language and RFP (Request for Proposal) as needed
  • Serve as direct liaison to Procurement Services Division and coordinate activities with consultants and Contract Administrators including processing Subconsultant Approvals, data updates and monitoring Subconsultant Utilization and Business Enterprise Achievement for monthly reports
  • Coordinate and attend various meetings with key stakeholders
  • Prepare drafts of contract meeting agendas for review and approval, finalize, and distribute to key stakeholders
  • Assist in resolving contract compliance problems and issues of concern between consultants and LAWA
  • Facilitate the review of consultant invoices between Accounting, Project Managers and consultants
  • Conduct closeout actions to update achievement levels upon contract completion
  • Coordinate Badge request packages for initial Prime contract setup and authorized signer designee: quality control and submission to Badge Office and Airfield Driving Permit Office
  • Performs other contract compliance tasks including but not limited to Planning and Design Task Orders, Contract Amendments, Stop Notice processing, Retention Releases, and other matters as determined by the Contracts Manager
  • Analyze contract data to assist in the preparation and distribution of contract status reports
  • Maintain accurate data matrices for various contract tracking requirements under PDG Admin
  • Assist and lead various reporting and database improvement projects as determined by the Contracts Manager

HARDWARE/SOFTWARE KNOWLEDGE

  • Proficient in Microsoft Office Suite software, Adobe Acrobat Professional and large-scale construction management type software
  • Professional Experience Level/Other Qualifications
  • Three to five years of experience in the administration of public sector/professional services contracts is required
  • Knowledge and direct experience in the Business Enterprise program coordination preferred
  • Effective oral and written communication skills
  • Must be detail oriented and highly organized
